Seeking an Aftercare Coordinator

An interesting and challenging position, assisting the Head of Aftercare in ensuring that client relationships are maintained and any matters arising during the Defect Liability Periods of each BBCL project are dealt with efficiently, and costs controlled. This is primarily an administrative role but one which also requires the ability to interact and build relationships with multiple interested parties.

Requirements of the role:

  • Managing emails/calls coming into the Aftercare inbox and dedicated telephone line

  • Maintaining defect registers for sites within Defects Liability Periods (DLP)

  • Updating regular reports for clients

  • Attending meetings alongside the Head of Aftercare, taking minutes when required

  • Production of notices for sub-contract defect works

  • Liaising with buying department to ensure swift processing of materials orders, and placing smaller materials orders directly with suppliers

  • Coordinating Aftercare Operatives’ diaries and obtaining updates on their progress

  • Processing of invoices/materials receipts for Aftercare operative / sub-contract works

  • Maintaining commercial reports for Aftercare operative / sub-contract works, reporting to project surveyors to keep them appraised of costs and contra-charges

  • Making appointments with residents/clients for operative visits

  • Liaising between sub-contractors and residents/clients as necessary to arrange access for works during and at end of DLP

  • Obtaining full handover information packs from construction teams

  • Searching archives for historical info when required

  • Other admin support for dept as required


Person requirement:

Essential

· Experience in dealing directly with clients / end-users

· Strong computer skills – Microsoft Office incl Word, Excel, Outlook, and Teams as a minimum

· Good standard of written English – concise and accurate letters, emails, reports, etc

· Commercial understanding

· Open, collaborative and optimistic nature


Preferable

· Experience in / some knowledge of construction practices

· Knowledge of compilation and use of O&M manuals

· Knowledge of contractual obligations, to clients and from sub-contractors
